JOB TITLE: Accounting Specialist
DEPARTMENT: Accounting
REPORTS TO: Chief Financial Officer (CFO)
STATUS: Full-Time, Non-Exempt
ABOUT THE ROLE
Kuhn Employment Opportunities is seeking a detail-oriented and collaborative Accounting Specialist to join our finance team. In this role, you will play a key part in managing day-to-day financial operations including Accounts Payable (A/P), Accounts Receivable (A/R), payroll data, and general ledger activity in QuickBooks.
KEY RESPONSIBILITIES
Accounts Payable & Cash Operations
Prepare, code, and enter vendor invoices and expenses into accounting software accurately.
Maintain A/P files and issue approved payments on schedule.
Investigate and resolve vendor or internal invoice inquiries with clear oral and written communication.
Assist the CFO with daily cash receipt reviews, bank transmittals, and petty cash oversight.
Accounts Receivable & Billing
Generate and distribute customer invoices promptly.
Manage specialized billing procedures for state contracts, the Bureau of Rehabilitation Services (BRS), and related partners.
Handle billing adjustments and credit collection efforts to ensure accurate records and timely receipts.
Payroll & Financial Support
Process payroll data using ADP, prepare and post payroll journal entries, and compile data for Workers Compensation audits.
Support month-end financial closing processes for both A/P and A/R.
Maintain organized A/P and A/R records, archiving or updating files as necessary.
Assist the CFO with policy documentation, standard operating procedures, and financial statement prep work.
Provide general departmental support and assist team members on additional tasks as needed.
QUALIFICATIONS & SKILLS
Education & Experience
High school diploma required with at least 3 years of experience in accounting or a related business field.
Associate or Bachelors degree in Accounting preferred.
Technical & Professional Skills
Hands-on proficiency with QuickBooks and basic computer applications.
Strong organizational skills with high attention to detail and accuracy.
Positive mindset, excellent communication skills, and a collaborative team approach.
Reliable transportation and valid automobile insurance meeting company standards (when using a personal vehicle for business purposes).
PHYSICAL & WORKING CONDITIONS
Ability to operate standard office equipment (computers, adding machines, file systems).
Maintains excellent attendance and adheres to all workplace safety policies.
